Full-time Secretary to the Resident Manager

Education level - College graduate

Communication skills - proficient in verbal and written English

Soft skills:
- solid customer service and organizational skills;
- critical-thinking and reasoning abilities;
- ability to meet deadlines and multitask;
- mentally alert, attentive to details, has good/sound judgment;
- must have strong communication, sales and presentation skills;
- must be goal-oriented, flexible and creative under pressure;

Technical skills:
- computer literate
- Knowledgeable in power point, excel and making memos

JOB DESCRIPTION:

1. Maintains RM’s daily work schedule and prompts RM of all activities
2. Handles incoming and outgoing calls; takes messages for the RM; redirects calls when appropriate
3. Handles and prioritizes incoming and outgoing correspondence (email, letters, memos, faxes, minutes, packages etc) whether for internal or external distribution
4. Extends professional and friendly reception to guests and employees who come to see the RM
5. Takes dictations from the RM
6. Maintains adequate inventory of office supplies and processes requisitions and withdrawals
7. Maintains the general filing system (soft and hard copies), records and databases, ensuring information is organized and easily accessible
8. Plans appointments and meetings called for by the RM with the dept. heads, staff, guests and contractors, and makes the necessary preparations and arrangements (attendees, booking of venue, snacks etc)
9. Attends meetings presided by the RM, takes the minutes, and handles routing of documents to all concerned with respective deadline for plan of action
10. Prepares the agenda for all RM meetings
11. Conducts research and prepares presentations or reports for the RM
12. Makes travel arrangements and bookings for the RM like airline reservations, hotel bookings, car rentals etc.
13. Handles official and personal errands, activities, and events of the RM
14. Ensures confidentiality in all matters and records related to the office of the RM
15. Prepares and sends out RM’s reply to guest comments/complaints
16. Assists in tracking guest comments/feedback
17. Prepares all guest advisory letters and welcome letters signed by the RM
18. Performs other duties as may be assigned
